Information we collect

Depending on the project, we may collect:

• identity information, such as your name, date of birth and nationality;
• passport and travel information, including travel dates;
• professional information, such as your role, artist or group and engagements;
• supporting documentation you upload;
• correspondence and communications with us, including contact enquiries.

Why we collect it

Information is collected and used only to administer and coordinate the relevant project or service requested, including:

• coordinating entertainment projects;
• organising administrative requirements;
• collecting and preparing information and documentation;
• communicating with artists, managers, promoters and production teams;
• assisting with referral to appropriate specialists where required.

KME Co does not use information submitted through the Kimmigration Client Portal for unrelated purposes, including training artificial intelligence systems or developing unrelated services.

Storage and security

Information is stored in a secured, access-controlled database, and uploaded documents are held in private storage that is not publicly reachable. Documents are only ever opened through short-lived, individually issued links. Access is restricted to authorised KME Co personnel and to the approved service providers required to operate and host the portal.

Access restrictions

Portal access for KME Co personnel requires an individual account and role-based permissions. Applicants reach only their own private invitation link and cannot see other people’s information. Sensitive declarations are further restricted to senior authorised personnel.

Disclosure

Information may be provided where it is required to administer the project, to engage relevant professional services on your behalf or at your direction, or where disclosure is required by law. We do not sell information or share it for marketing purposes.

Retention

Information is retained only for as long as needed to administer the relevant project and to meet our record-keeping obligations, after which it is deleted or de-identified. You may ask us about the retention period that applies to your project.

If you have a question, concern or complaint about privacy, or you would like to access or correct information we hold about you, please contact us through the Contact KME Co page and select “I would like to make a complaint” or “Other”. We will respond as soon as possible.
